🚨 Most Commonly Missed Signature Alert: The Survey 🚨

Believe it or not, one of the easiest documents to recognize in a real estate package is also the document most commonly missed for signatures: the survey.

📄 It’s simple.
📍 It’s recognizable.
⚠️ And it’s often overlooked.

One important thing to remember:
Even if the survey does NOT appear to have a signature line (and many times it doesn’t), it should still be signed if it is included in the package unless specifically instructed otherwise.

Missing this signature can lead to:
❌ Re-sign trip
❌ Frustrated clients
❌ Extra work for everyone involved

💡 Pro Tip: Always treat the survey as a signature-required document when reviewing a closing package.

Attention to detail matters — and sometimes the smallest oversight can create the biggest delay.

The #1 thing you can do to elevate your notary service?
Give yourself time to prepare BEFORE the closing and review AFTER the closing.

Preparation is everything:
✔️ Double-check your documents printed correctly (yes, even that last page!)
✔️ Make sure all pages are included in the package
✔️ Know exactly where your clients need to sign and initial
✔️ Identify where YOU need to sign and stamp
✔️ Prep your notary journal ahead of time

Then after the signing—don’t rush out!

Review is just as important:
✔️ Confirm all signatures and initials are complete
✔️ Ensure documents are in the correct order
✔️ Check that nothing is missing
✔️ Do this BEFORE scanbacks or making your drop

Taking these extra few minutes can be the difference between a smooth closing and a costly mistake.

Today I’m soaking up a “slow” day!

And I’m sure I’m jinxing myself. 😂

Not too long ago, the silence would’ve been deafening. Every day I went without a closing, panic would start to set in.

In the beginning, working through life’s curveball, my goal was 10 closings a month. Now, we average between 50-100 closings a month. 💪🏻

When the phone isn’t pinging, emails aren’t buzzing, and the phone isn’t ringing…it’s RARE! And welcomed, lol! 😆

It’s when I get to fit in admin tasks, work on fun updates, and focus on upcoming projects. Luckily, today I get to do it while the sun is still out! 🙌

🔎 Common Mistakes in Seller Packages

Even small oversights can delay a closing. Here are a few issues we see most often:

• Debt/Lien Affidavits left blank – If there are none, write “NONE.”
• Incomplete Marital Status forms – Sellers should fill these out completely.
• Missing second notary stamp – Some documents require both a Jurat AND an Acknowledgement.
• Substitute 1099 missing SSN/EIN – This should always be filled in if not pre-populated.
• Missing copies of client IDs – Always include clear ID copies.

✔️ Attention to these details helps prevent funding delays and redraws.

Hands down, this is a top-notch notary! I would be doing a disservice if I didn’t shine a spotlight on Venisa Groll today. She assisted with a closing yesterday in the Phoenix area involving two heirs for the sale of a property—what should have been a simple appointment quickly turned into a two-day challenge of delays, complications, and constant follow-ups.
