Occupancy Specialist
Full-Time (40 Hours Per Week)
M-F 7:30AM – 4:30PM
Must reside in Sullivan County, Indiana or willing to move to Sullivan County, Indiana.

Job Summary
The primary purpose of this position is to assist in all aspects of clerical and technical functions of public housing management at the property level, by performing various tasks such as: re-examinations and re-certifications; providing information to programs and status to tenants; collecting and posting rent; and occasionally visiting units for meetings or inspection purposes. This role is crucial in maintaining a welcoming environment while providing exceptional customer support and office management while assisting the Executive Director as needed.
Responsibilities
The position duties and responsibilities listed below describe the general nature and scope of work. Other responsibilities, duties and skills may be required and assigned, as needed.
• Receives and processes initial applications for public housing.
• Interviews applicants to obtain additional information such as family composition, health and social problems, veteran status, ability to pay rent, gross assets, and need for housing assistance.
• Advises applicants on eligibility requirements, tenant selection methods, and housing opportunities.
• Tracks vacant units and lease up time; records all move-ins and move-outs, and updates tenant files accordingly.
• Conducts annual, interim, and special reviews of tenant’s household composition and income.
• Assists in reconciling rent roll and other reports for monthly close outs.
• Maintains records pertinent to Public Housing Assessment System yearly reporting; may assist in completing yearly reports such as Enterprise Income Verification (“EIV”) reports.
• Performs various clerical duties such as data entry, prepare deposits, draw funds down from eLOCCS, filing, copying, and word processing.
• Document and monitor all tenant pets (vaccinations, ESA, etc.), community services hours and late rent requests.
• Uploads tenant’s information to PIC monthly.
• Detailed oriented with strong multi-tasking capabilities.
• Manage incoming calls, emails, and inquiries, ensuring timely responses.
• Excellent written and verbal communication skills
• Maintain an organized office area to promote a positive impression.
• Support other staff members with various tasks as needed, acting as a personal assistant when required, particularly to the Executive Director.
Requirements
• Proficient in using computer systems and software, particularly Microsoft Office; Excel and Word.
• Strong organizational skills with attention to detail.
• Excellent interpersonal skills with the ability to provide outstanding customer support.
• Ability to multitask effectively in a fast-paced environment.
• High School Diploma (or GED), preferred
