Office Specialist I - Public Works Department: The St. Cloud Public Works Department is accepting applications for an Office Specialist I. The Office Specialist I is responsible for providing Department level administrative support, office organization and office management to the assigned department. This role plays a crucial part in ensuring the efficient operation of the department by maintaining accurate records, assisting with departmental budgets, and facilitating various administrative functions. Responsibilities require considerable independent work, judgment, discretion, processing of operational and administrative work, and tactful communication with the public.
Key Responsibilities:
* Administrative Support: Provide admirative assistance, including managing schedules, screening calls, and handling confidential information.
* Data Management: Compile and analyze data from various sources to prepare reports, questionnaires, budgets, and other documents.
* Communication: Prepare correspondence, memoranda, reports, and invoices, utilizing various software packages and tools.
* Budget and Payroll: Assist in the administration of the departmental budget and payroll processes.
* Financial Management: Process invoices, incoming financials, purchase orders, track grant revenue and expenses, issue permits and manage donations and receipts.
* Problem Solving: Address and resolve questions or problems arising during daily activities.
* Media: Website and social media creation and management. Create graphs, charts, brochures, logos, and other materials for multiple departments and administration.
* Performs other work as required and assigned.

Schedule: The work hours for this position generally are 8:00 - 4:30 p.m., and may be subject to after hours, evenings and weekends.
