JOB DESCRIPTION
JOB TITLE: Administrative Assistant
DEPARTMENT: Emergency Management
REPORTS TO: Emergency Management Director
STATUS: Full-Time, Non-Exempt
RATE OF PAY: $13 – $15/hour, DOQ
SUMMARY: Provides critical administrative, logistical and communications support services to Emergency Management Dispatch. This role ensures smooth daily operations, accurate documentation, timely coordination, and effective information flow during routine activities, and emergency incidents, along with other duties as assigned.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Maintain department records, logs, and databases with a high level of accuracy.
Prepare correspondence, memos, meeting minutes, and incident documentation.
Assist with scheduling, calendar management, and coordination of meetings and training.
Manages inventory of office supplies, emergency equipment, and resource materials.
Assist dispatch personnel with call intake documentation, data entry, and information tracking.
Monitor communication channels and relay information to appropriate staff as directed.
Support the coordination of emergency notifications, alerts, and public information releases.
Ensure proper filing and archiving of dispatch audio, call logs, personnel training, personnel certifications and incident reports.
Provide administrative support during emergency operations, including Emergency Operations Center activation.
Assist with resource tracking, situation reports, and logistical coordination.
Help maintain emergency plans, operational procedures, contact lists, and preparedness materials.
Participate in drills, exercises, and training events as needed.
Qualifications:
High school diploma or equivalent: additional administrative or emergency management coursework preferred.
Experience in dispatch, public safety, emergency management, or administrative support strongly preferred.
Proficiency in Microsoft Office Suite and data management systems.
Basic English skills;
Strong oral and written communication skills;
Ability to maintain confidentiality and handle sensitive information.
Ability to remain composed and effective in high-pressure or emergency situations.
Strong organizational skills and attention to detail.
