Description
Staff support position responsible for performing a variety of administrative and clerical tasks. The work is performed under the general supervision of the EMS Chief. Requires the use of independent judgment and initiative.
Wage
Salary-Exempt $31,000 - $41,000

General Duties
• Reviews electronic patient care reports (ePCRs) and prepares reports for billing.
• Ensures compliance with the Health Insurance Portability and Accountability Act (HIPPA) and other regulations relating to patient healthcare privacy.
• Maintains files and records of EMS data.
• Prepares and submits reimbursements for ambulance billing.
• Collects ambulance fees and revenues, prepares receipts and maintains records of transactions.
• Prepares and tracks department accounts receivable and accounts payable.
• Assists with annual budgetary development
• Reconciles and directs the compilation of various statistical, accounting, finance, and monthly expenditure and revenue reports for the department.
• First point of contact for most ambulance department inquiries, including answering customer calls and relaying information to appropriate staff, promotes positive customer service and provides accurate and timely responses to telephone inquiries.
• Assist in preparing agenda items for the Public Safety Committee meetings and other correspondence as directed.
• Assists with compiling data for annual department operating budget.
• Provides administrative support to the EMS Chief for sensitive personnel actions and sensitive events.
• Acts as point of contact for dissemination of requested EMS reports and keeps record of reports released.
• Assist prepare payroll for submission to the County Clerk’s Office.
• Prepare written reports, complete forms and keep files up to date.
• Works under strict time constraints, independently, and with others under limited supervision.
• Performs all work duties and activities in accordance with County and department policies, procedures and safety rules.
• Perform other duties assigned by the EMS Chief.
Required Knowledge
• Basic knowledge of Medicare, Medicaid, and private insurance regulations.
• Basic understanding of medical terminology.
• Working knowledge of general office procedures, equipment and terminology.
• Ability to prioritize work, produce a quality work product within strict timelines, and handle multiple tasks.
• Thorough knowledge of and ability to use Microsoft Word, Excel, and other specialized software.
• Ability to keep accurate, thorough and updated records.
• Ability to speak clearly and distinctly and to write legibly; ability to present data and reports in organized and understandable form.
• Ability to answer questions and provide information to the public in person and over the telephone in a clear, concise and easily understandable manner.
• Ability to establish and maintain effective working relationships with other employees, members of the public, and other community partners.
Experience & Training
• High school graduate/GED with secretarial experience in an office setting.
• Thorough knowledge of and ability to use Microsoft Suite, and other specialized software applications appropriate to assigned duties and responsibilities; and ability to enter and retrieve information and update records on computer.
Essential Physical Abilities
• Sufficient speech and hearing that permits the employee to communicate effectively with supervisors, other employees and the public in person or by telephone.
• Sufficient vision and manual dexterity that permits the employee to operate a personal computer and other standard office equipment, handle files, perform customer service duties and other clerical responsibilities.
• Sufficient personal mobility that permits the employee to move from one work area to another.
