The Madison PTA is seeking board members for the 2026-2027 school year!

We're seeking board members for the upcoming 2026-2027 school year! Board members help shape programs, events, and funding priorities for the year. It's a great way to get involved and stay connected in the Madison community as well as create programs and experiences that students, teachers and families will benefit from.

Below are descriptions of each board position and responsibilities:

President

• Organize and run all PTA general meetings (one hour once per month)

• Attend monthly PTA Council meetings (two hours once per month)

• Coordinate with school Principal and Parent Liaison(s) regarding goals and logistics

• Handle PTA administrative tasks such as updating bylaws (when needed), setting up GiveBacks documents, communicating with the school and district, spinning up nominating and audit committees

• Provide weekly updates to the Secretary for the newsletter

• Sign all legal documents on behalf of the PTA

• Support all other board and committee positions to ensure a successful year

• Maintain detailed records to ensure a smooth transition to the next board

Vice-President

• Supporting the President by acting as next in line for attending council meetings, as required

• Taking the leadership role on a committee or one of the school-wide events, as needed

â—¦ Eg: if there is a committee that is in need of additional support, or an event that does not have PTA leadership otherwise

• Assisting fellow board members with their roles, where requested

â—¦ Eg: taking notes, if the Secretary is unable to attend

• Attend PTA Board meetings and be an active voice and participant during discussions

• Taking over as President if the position becomes vacant mid-term

Secretary (Recording and Reporting)

• Record minutes during meeting to be distributed in weekly PTA newsletter

• Save all meeting agendas and minutes in the PTA shared Google Drive

• Maintain the PTA website page on MECC's website

• Maintain the PTA page or other social media

• Collect weekly updates from all board members and compile into weekly newsletter sent via Parent Square on Monday morning at 9am

• Witness in person and sign off on the new PTA Board at the Spring election meeting

• Except for monthly general meeting attendance, most other Secretary duties can be performed remotely

Treasurer

• Manage all monies of the organization and keep an accurate record of receipts and expenditures

• Prepare and manage an annual budget that is voted and approved by the PTA

• Manage the PTA Bank account

• Provide a monthly treasurer's report updating expenditures and income for general meeting

• Provide records to the auditing committee

• File the PTA taxes

• No accounting experience necessary - just basic Excel skills and balancing a check book!

Director of Membership

• Help create and implement a membership plan

• Promote membership throughout the year

• Provide membership reports at PTA meetings

• Manage membership portion of GiveBacks

• Manage DirectorySpot

• Collect dues via GiveBacks

• Distribute Madison Mini Dukes lawn signs

Director of Programs (can be a co-director position)

• Provide a program plan and rough budget at October meeting for full board approval

• Solicit and coordinate committees and volunteers to help organize and run events throughout the year such as:

â—¦ Fall Open House

â—¦ Movie Night(s)

â—¦ Fall Fest (in coordination with the school)

â—¦ Assemblies

â—¦ Sweetheart Dance (February)

â—¦ May fest or other spring event

â—¦ Clap Out (end of year celebration/parade)

• Teacher appreciation week: Organize and lead the volunteers to plan and execute teacher appreciation week in May.

• Plan and execute staff breakfast or luncheon for back to school and/or Parent Teacher Conferences

• Staff Lounge snacks: Create and maintain Amazon wish list of snacks for parents to purchase/donate.

â—¦ Collect, deliver and set up these snacks in the staff lounge

• Winter Needs Drive: Work with the school's parent liaison(s) to find out the items for each needs drive, set up Amazon wishlists to collect the items, organize the items as they arrive, and prepare for their delivery to students at the school

• Coordinate all-school playdates during the warm months

• Provide a monthly update at the general PTA meeting

Director of Ways and Means

• The Ways and Means Chair handles the traditional fundraisers

â—¦ Ex: Monthly Eat and Earns, Charleston Wrap, Square 1 art, book fairs, etc.

• Provide a fundraising plan at October meeting for full board approval

â—¦ September/October fundraisers may need to be set up ahead of time

• This position requires organization and communication

• It does not require much time in person - most of the work can be done via email

• Submit monthly updates for PTA General Meeting

SERG Representative

• Update board at monthly meetings about SERG initiatives

• Stay up to date on district-wide SERG programs, events, and resources (coordinated by district SERG representatives) - https://www.elmhurst205.org/page/serg

• Advocate for special needs access at all PTA events

• Organize occasional meetings for special needs students and parents to meet, socialize, and learn about community resources
