Data Retention and Deletion Project

We are continuing to progress our data retention work to improve system performance, cost efficiency, and overall reliability, while ensuring full compliance with the College Data Retention Policy.

As part of this, we are undertaking a phased data deletion programme. Under the policy, learner data is retained for seven years following the award of a CCT. After this period, most learner data must be permanently deleted.

What does this mean for you?
➡️The first phase will apply to users who achieved their CCT between August 2018 and December 2018.
➡️In October 2026, we will begin notifying users who achieved their CCT between January 2018 and July 2018. If you fall within these groups, your learner data will be scheduled for deletion in line with the policy.
➡️All affected users will receive a direct email from the Lifelong Learning Platform (LLP) team with further details.

Phase 1: August 2026
➡️Phase 1, planned for implementation in August 2026, will focus on reducing historic data volumes:
➡️Learner-role data will be deleted after the seven-year retention period
➡️Logbook and document store data will be retained to support ongoing CPD needs
➡️Historic CPD events and attachments that no longer add value will also be removed
