📋 DfE Digital Standards Focus: Keep hardware and system registers up to date

Good decisions rely on good information. The DfE standard requires schools to maintain up‑to‑date registers of hardware, systems and digital services to support planning and financial decisions.

Without accurate records, risks increase and future investment becomes harder to justify.

✅ Key takeaway: If you cannot easily see what systems you have, who owns them and when they expire, it is time to review your registers.

👥 DfE Digital Standards: Cyber security and safeguarding

Cyber security plays a direct role in safeguarding. DfE guidance makes clear that protecting digital systems also protects sensitive pupil and staff data.

Access controls, monitoring and incident readiness help reduce safeguarding risk.

✅ Key takeaway: Treat cyber incidents as safeguarding concerns, not just technical problems.

👥 DfE Digital Standards: Control and secure user accounts and access privileges

Cloud systems do not remove cyber risk. The DfE Cyber Security Standards emphasise strong passwords, multi‑factor authentication and appropriate access levels.

In many incidents, access is gained through compromised accounts rather than technical weaknesses.

✅ Key takeaway: Enable multi‑factor authentication on all staff accounts wherever possible.

👥 DfE Digital Standards: License digital technology and keep it up to date

Small gaps are often exploited. Cyber attacks do not always involve advanced techniques or complex tools. Outdated software, unused user accounts and systems that have not been patched remain some of the most common entry points into school networks.

The DfE Cyber Security Standards place strong emphasis on keeping digital technology licensed, supported and up to date because attackers actively look for these basic gaps.

✅ Key takeaway: Remove unused accounts and keep systems patched as part of regular IT housekeeping. Talk to us if you need help.

👥 DfE Digital Standards: School Wide Cyber Awareness

Did you know cyber security in schools is as much about people as it is about technology? The DfE Cyber Security Standards highlight staff awareness, strong passwords and good processes alongside technical controls.

Most incidents start with a simple action, such as a clicked link or reusing a password, rather than a sophisticated attack. Regular awareness and clear reporting routes reduce risk across the whole school community.

✅ Key takeaway: Use the free NCSC cyber security training and resources to build regular staff awareness.

A cyber security training package for school staff to help improve their school's cyber resilience.

Using AI in School Offices: Simple Time Savers That Make a Real Difference ✨

School offices handle a huge amount of day to day administration. Many digital platforms now include built‑in AI tools that can take on some of the routine work, giving staff more time to focus on pupils, parents and the wider school community. 🏫💬
AI can help with tasks such as:

• Drafting emails that staff can review and send ✉️
• Producing the first version of letters, notices and reports 📄
• Creating outlines for presentations and meetings 🖥️
• Summarising long documents into clear briefing notes 📘
• Extracting key dates or actions from messages and documents 📅
• Tidying up grammar and formatting to save manual editing time ✔️

These tools do not replace professional judgement. They simply remove repetitive steps that slow staff down. Used well, they can support more consistent communication, faster turnaround times and smoother office workflows. ⚙️

If your school would like guidance on safe and practical ways to use AI within your existing systems, we can help you get started. 🤝
