PART-TIME TRIBAL DOCUMENT COLLECTIONS ASSISTANT POSITION OPENED
Job Title: Tribal Document Collections Assistant Classification: Part-Time
General Job Description: The Document Collections Assistant is a part-time position in The Munsee Tribe in Kansas Administration for Native Americans (“ANA”) Project Office (“Project Office”). This position is funded by an ANA Social & Economic Development Strategies (“SEDS”) Grant that will last until September 29, 2027.
Job responsibilities include: digitization of Tribal documents and maintenance of the Tribe’s archival database. S/he will work with Project Volunteers and Tribal Historical and Genealogical Researcher to ensure documentation is correctly collected and organized in two forms: hardcopy and digital. S/he will oversee Tribal and Non-Tribal Volunteers performing data collection and entry. The Document Collections Assistant will work with the Tribal Historical and Genealogical Researcher to ensure required documentation is available for the Family Tree Maker genealogical database. S/he will report to the Tribal Project Manager and work with consultants to manage transcription and analysis of Tribal documents. S/he will also help conduct quarterly surveys of the Tribal community and communicate Project information.
Duties & Responsibilities: The Tribal Document Collections Assistant shall participate in professional development trainings conducted by consultants; conduct research, manage proper documentation, create documentation database in digital and hardcopy versions; transcribe interviews conducted throughout the Project; train/coordinate volunteers in transcription and documentation collection; help engage and mobilize Tribal and non-Tribal Volunteers to respond promptly to meet targets and deadlines; assist the Project Staff; assist Project Staff with the submission of information to the General Committee to incorporate into Tribal newsletters related to Project updates; assist with the development and implementation of quarterly surveys of Tribal members; assist in the preparation of annual Munsee cultural tours; assist in the arrangement of genealogical and historical packets for annual Tribal meetings; digitize the genealogical and historical packets for annual Tribal meetings and ensure available online for Tribal member access; take direction from the Tribal Project Manager on items related to meeting the requirements of the ANA SEDS Grant; and work regularly with the AOR, Project Manager, Project Consultants, and Tribal Volunteers to ensure that all processes are standardized and meet the Project objective.
Qualifications: Minimum of high school diploma or GED and 5 years of professional experience or any combination of experience, education, or training that would support the required knowledge and abilities are also qualifying. Must have ability to transcribe and train others in transcription. Must have experience compiling data and reports, creating files, and monitoring records. Experience and proficiency in Microsoft 365 Office, including Word, Excel, and PowerPoint, and other cataloging software is preferred. Must be organized and detail oriented. Must be able to perform moderate physical activities, such as lifting, kneeling, or standing for long periods. Leadership skills, Interpersonal skills, Ability to delegate effectively, and Time Management Skills are required.
PREFERENCE IN FILLING VACANCIES IS GIVEN TO QUALIFIED NATIVE AMERICAN CANDIDATES IN ACCORDANCE WITH APPLICABLE LAW.
