Notary Tip: How a Notary Stamp Must NOT Appear!

The photo below shows an example of how a notary stamp must not appear on a notarized document.

A notary seal must never cover or override any words in the notarial certificate. When the stamp overlaps the text, it can make it impossible to distinguish important details such as the date, county, commission information, or expiration date.

Additionally, the notary stamp must be black and properly inked so it remains clear and readable even after the document is scanned or copied. Faint, light, or incomplete stamps often disappear during scanning or photocopying.

Poor stamp placement or an unreadable seal can lead to serious issues, including:
• Delays in real estate closings and loan fundings.
• County clerk or recording offices rejecting the document.
• Apostille offices refusing the notarization.
• Documents needing to be re-signed and re-notarized.
• Unnecessary delays and additional costs for clients.

A proper notarization requires the stamp to be clear, clean, fully visible, and placed in a blank area of the document so all information remains legible.

Attention to these details helps ensure documents are accepted, recorded, and processed without delays.
