Dear Pecan Estates Homeowners,

We hope you’re doing well! We’re reaching out with an important update and a friendly reminder —
we need your signed ballot!

Attached to this, you will find a ballot and the proposed amendment to modify the quorum requirements
for the Annual Meetings only. We want to assure you that this amendment
does not grant any additional authority to the Board, nor does it give the Board the power to change the covenants without an official homeowner vote.

Over the years, our HOA has struggled to meet quorum for meetings, which means we often have to recall meetings and hold elections for a new Board of Directors. This has led to increased costs and delays in conducting neighborhood business. The proposed amendment
would modify the quorum to a more reasonable level, ensuring that each annual meeting can be officially held, so we can conduct community business without the need for recalls.

Recently, we hosted a Zoom call to address any questions about the proposal, and we want to extend this opportunity — if you have additional questions, please contact our office at 918.994.6562. We’re happy to provide more information!

Make no mistake: this is an important effort that will benefit our community. A previous Board also attempted this solution but was unsuccessful, and now we need your support to make it happen.
Your vote is crucial to the success of this initiative.

The Zoom call will be held on Wednesday, October 8th, at 6:30 PM. We’ll discuss what quorum is, why the amendment is important, and how it will positively impact our community.

As most of you know we have sent out a ballot to make amendments to our covenants to change the number of participants in meetings to make legal changes i.e. quorum. In the past the decisions made in meetings have not met the requirements to make legal decisions and that has limited our ability to change the covenants to adapt to our changing needs and wants. Please consider filling out the ballot and retuning no matter what your decision is. Our neighborhood has a severe problem of apathy. We would love to adapt our covenants to meet the needs of all the homeowners but participation is a must to effect this. We also welcome anyone interested in being an active part of decision making to join in leadership of the HOA
