EVENT COORDINATOR – THORNHILL CHRISTMAS FAIR
Thornhill Community Council is seeking an organised individual or group to lead the delivery of the annual Christmas Fair on Sunday November 29th, 2026.
We are open-minded about who the right person might be. This role could suit a freelance event coordinator, a local business owner, or an experienced volunteer with the capacity to take this on.
The original focus of this event was to drive business to Thornhill’s high street (to support spending locally in the community) and it was organised by a group of local businesses before being passed to the community council. The Community Council provides budget, oversight and some volunteers for helping with various tasks on the day itself, but we require a dedicated coordinator to manage the operational and administrative ex*****on.
Commitment
• Ongoing: A few hours per month for initial planning and bookings.
• Peak: Hours will increase significantly in October and November.
• On-site: Full availability required on November 29th for set-up and event management.
Key Responsibilities
• Vendor Management: Handling stall bookings, site allocations, and arrival logistics.
• Compliance: Ensuring all food providers and suppliers meet health and safety requirements and provide valid liability insurance.
• Operations: Coordinating the er****on and dismantling of gazebos and tables etc.
• Booking: Booking entertainment (e.g. music, fairground rides) and managing high street window competition.
• Marketing: Managing social media updates, local business outreach, and poster distribution.
Compensation & Support
The Community Council is open to discussing a professional fee for a freelance coordinator or business owner.
