EVENT COORDINATOR – THORNHILL CHRISTMAS FAIR

Thornhill Community Council is seeking an organised individual or group to lead the delivery of the annual Christmas Fair on Sunday November 29th, 2026.
We are open-minded about who the right person might be. This role could suit a freelance event coordinator, a local business owner, or an experienced volunteer with the capacity to take this on.
The original focus of this event was to drive business to Thornhill’s high street (to support spending locally in the community) and it was organised by a group of local businesses before being passed to the community council. The Community Council provides budget, oversight and some volunteers for helping with various tasks on the day itself, but we require a dedicated coordinator to manage the operational and administrative ex*****on.

Commitment
• Ongoing: A few hours per month for initial planning and bookings.
• Peak: Hours will increase significantly in October and November.
• On-site: Full availability required on November 29th for set-up and event management.
Key Responsibilities
• Vendor Management: Handling stall bookings, site allocations, and arrival logistics.
• Compliance: Ensuring all food providers and suppliers meet health and safety requirements and provide valid liability insurance.
• Operations: Coordinating the er****on and dismantling of gazebos and tables etc.
• Booking: Booking entertainment (e.g. music, fairground rides) and managing high street window competition.
• Marketing: Managing social media updates, local business outreach, and poster distribution.

Compensation & Support
The Community Council is open to discussing a professional fee for a freelance coordinator or business owner.

For more information and a chat about how you might be able to help:
Please contact Elizabeth Shelby (Secretary) at [email protected] by 27 March 2026. Briefly outline your experience in event management or project coordination. We are looking to appoint someone as soon as possible to begin bookings.

Resilience Planning

Thornhill Community Council are currently updating the Community Resilience Plan to best reflect the community's response and recovery to emergencies (mainly extreme weather).

We are keen to hear from any individuals, or businesses, who feel they could offer help to the people of Thornhill if the plan were to be activated.

Please contact Thornhill Community Council, [email protected], if you are interested in being included in the Resilience Plan or wish to discuss the matter further.

Many thanks to those who have already volunteered their skills and resources to the plan.

What a day!

TCC would like to thank everyone who played their part in making yesterday special. The Christmas Market was a great way to celebrate the beginning of the Festive season and showcase all that Thornhill has to offer. We hugely appreciate the efforts that many many people went to in making yesterday a fabulous event.

Once again, the window display competition encouraged stiff competition with Hillhouse and Hunter nabbing first place. Second place was awarded to Jinny's Tearoom and Blossom and Bloom took the third place position. A huge congratulations to the winners!

We think you will agree that local businesses have already gone the extra mile to add some festive sparkle to Thornhill. With more stall holders expected and Santa currently flying over the Lowthers, tomorrow is set to be really special! We can't wait to see you all!
